Privacy Policy
This policy explains what information Game Plan AI LLC ("Game Plan," "we," "us") collects when you use The Gameplan mobile app, its Apple Watch app, Siri shortcuts and share extension (together, the "App"), and the website gameplanai.app (the "Site"), and how we use and protect it. If you have questions, email michael@gameplanai.app.
- We collect what you put into the App (your schedule, tasks, family members and notes) and what you choose to connect (calendars, health data, WHOOP, location).
- We send the content of your requests to OpenAI to power the AI assistant, and only after you agree to it in the App.
- We don't sell your personal information, we don't show ads, and we don't track you across other companies' apps or websites.
- You can delete your account and data from inside the App at any time.
1. Information we collect
Information you give us
- Account details: your name, email address, password (stored only in hashed form by our authentication provider), username, profile photo, short bio and time zone.
- Home and addresses: your home address and its map coordinates, and the places attached to your events and tasks. We use these to calculate travel time and suggest errand runs.
- Your plans: events, tasks, subtasks, goals, daily check-ins (such as energy and stress), wins, notes, and links, images, voice notes and text you capture or share into the App.
- Family information: names, photos, roles, sports and teams for family members you add, including children who don't have their own account.
- Carpool contacts: the name and phone number of a contact you choose as a carpool driver.
- Phone number: if you link a phone number to send tasks to the App by text message.
- Forwarded email: if you turn on email forwarding, the emails you or your approved senders forward to your Game Plan address.
- Support requests: your message, reply email address and basic app diagnostics you choose to send.
- Onboarding answers: optional answers about your goals and what you'd like help with.
Information from your device, with your permission
- Location: your device location while you're using the App, to calculate travel times and show nearby places. Your location and the addresses of your home and events are sent to Google Maps Platform to find places and calculate travel times. We do not collect location in the background. While you're more than about 10 km from home, we keep an approximate location (rounded to about 1 km) for up to 12 hours so "time to leave" reminders start from where you are; it is visible only to our servers, not to your family or friends, and is cleared when you're back home.
- Microphone and speech recognition: audio for voice notes. On iPhone, speech is converted to text by Apple's speech recognition service. Recordings from the Apple Watch app are sent to our servers and transcribed by OpenAI.
- Calendars: the list of calendars on your device, and events from Google or Outlook calendars you connect (see section 6).
- Contacts: only the contact you pick when choosing a carpool driver. We don't upload your address book.
- Camera and photos: only the photos you take or choose for a profile picture or a capture.
- Health data: if you connect Apple Health or Health Connect (see section 5).
- Notifications: a push notification token so we can send you reminders.
Information from services you connect
- Google Calendar and Microsoft Outlook: your calendar events, and the basic profile and email address used to connect the account.
- WHOOP: recovery, sleep, strain cycles, workouts and basic body measurements.
- Calendar feeds: events from team or league calendar links you subscribe to (for example, TeamSnap or PlayMetrics feeds).
- Creators you follow: public posts from creators you choose to follow on X, Instagram, YouTube or TikTok, and the public content of links you share into the App.
- Purchases: your subscription status from Apple or our web checkout provider. We never receive your full card number.
Information collected automatically
- Technical records needed to run the service, such as notification delivery logs, sync logs, request counts used for rate limiting, and logs of assistant requests (see section 9).
- Crash and error reports: if the App crashes or hits an unexpected error, it sends a report to our crash-reporting provider, Sentry, so we can find and fix the problem. A report contains technical details only: the device model, iOS version, app version, what went wrong in the code, and an internal account ID. It never includes your name, email address, phone number or the content of your plans, notes, messages or recordings. We do not use third-party analytics or advertising tools in the App, and we do not use Apple's advertising identifier.
2. How we use information
- To provide the App: build your daily plan, sync calendars, send reminders and your daily plan email, calculate travel time, suggest errand runs, and share plans within your family.
- To power the AI assistant and smart capture features (see section 3).
- To adjust your plan to your recovery and energy, if you connect health data or WHOOP.
- To process subscriptions and check which features you have access to.
- To send service emails and texts, and, if you haven't opted out, a welcome email and occasional product updates.
- To answer support requests, keep the service secure, prevent abuse and fix problems.
- To comply with law and enforce our Terms of Use.
We do not sell your personal information, use it for advertising, or use it to build profiles for anyone else.
3. AI features and OpenAI
The Gameplan uses OpenAI's models to understand and act on your requests. Before the App sends anything to OpenAI for the first time, it asks for your permission, and nothing is sent unless you choose Allow. You can turn AI features on or off at any time in the App under Settings → Use AI; while they're off, nothing is sent to OpenAI.
Depending on the feature, we send OpenAI:
- What you type, say or capture (text, voice transcripts, images and shared links), and recent messages in the conversation.
- The context needed to answer, such as relevant events and tasks, family member names, your home address, and notes the assistant has saved about your preferences.
- The text of emails you forward, so tasks and events can be pulled out of them.
- Audio recorded on the Apple Watch, for transcription.
We don't send your health or WHOOP data to OpenAI. OpenAI processes this data to return a response to us. Under OpenAI's API terms, data sent through its API is not used to train OpenAI's models by default, and OpenAI may keep it for a limited time to monitor for abuse. You can read OpenAI's privacy policy.
AI output can be wrong. Always check important details such as times, places and instructions.
4. Who we share information with
We share information only with the service providers that help us run The Gameplan, with people you choose to share with, and when the law requires it. Our providers may use your information only to provide their services to us.

People you share with. Members of your family group can see the plans, events and tasks shared in that family. If you share a carpool or plan link, anyone with the link can see what it contains, including its title, time and locations.
Legal and business reasons. We may disclose information if required by law or to protect the rights, safety or property of our users, the public or Game Plan. If Game Plan is involved in a merger, acquisition or sale of assets, your information may be transferred as part of that transaction, and this policy will continue to apply to it.
5. Health data
If you connect Apple Health (HealthKit) or Android Health Connect, we read heart rate variability, resting heart rate, respiratory rate, sleep, wrist temperature, blood oxygen and exercise data, depending on your device and what you allow. If you connect WHOOP, we receive the WHOOP data listed in section 1.
- We use health data only to estimate your daily readiness and adjust your plan and workout suggestions.
- We never use health data for advertising or marketing, never sell it, and never share it with data brokers.
- We don't write data to Apple Health.
- You can disconnect health sources at any time in the App, or in your device's Health settings.
6. Google and Microsoft calendars
If you connect Google Calendar or Outlook, we read and write calendar events so your plans stay in sync in both directions. We use this access only to provide calendar features you can see in the App.
The Gameplan's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, we do not let people read it except with your permission, for security or as required by law, and we do not use it to train AI models. Calendar details may be sent to OpenAI only when you ask the assistant to work with your schedule.
You can disconnect a calendar in the App's settings, or revoke access from your Google or Microsoft account settings.
7. Text messages
If you link a phone number, we use it to verify you and to let you text tasks and changes to The Gameplan. We text you only in reply to your messages and for verification codes. Message frequency varies with how you use it. Message and data rates may apply. Reply STOP to stop messages at any time. We don't sell your phone number or share it with third parties for their marketing.
8. Families and children
The Gameplan is not directed to children under 13, and children under 13 may not create an account. A parent or guardian can add a child as a family member without an account. When you do, you are providing that child's information (such as name, photo, teams and schedule) to us and confirm that you are the child's parent or guardian. We use it only to run your family's plans. You can edit or remove it at any time. If you believe a child under 13 has created an account, contact us and we will delete it.
9. How long we keep data
- Your account data stays until you delete it or delete your account.
- Logs of assistant requests are deleted after 90 days.
- Notification logs are deleted after 60 days, sync logs after 7 days, and family change history after 14 days.
- Guest accounts that are never completed are deleted after 30 days of inactivity.
- We keep limited records longer if the law requires it, such as purchase records.
10. Your choices and deleting your account
- Permissions: you can turn location, notifications, calendars, contacts, microphone, camera, photos and health access on or off in your device settings.
- Connections: you can disconnect Google, Outlook, WHOOP, calendar feeds and your phone number in the App.
- Emails: use the unsubscribe link in any non-essential email.
- Delete your account: in the App, go to Settings and choose Delete Account. This permanently deletes your account, profile photos and the data tied to you. If you're the only member of your family group, the family's data is deleted too. If other people are in your family, the plans you shared with them stay with the family. Deleting your account does not cancel a subscription. Cancel it through your Apple ID settings, or through the web billing portal if you subscribed on the web.
11. Your privacy rights
Wherever you live, you can ask us to access, correct, export or delete your personal information by emailing michael@gameplanai.app. We'll verify your request using your account email and respond within 30 days. Some US states, including California, give residents these rights by law, along with the right to know what we collect and the right not to be discriminated against for using them. We don't sell personal information or share it for cross-context behavioral advertising, so there is nothing to opt out of. If we deny your request, you can appeal by replying to our response.
Our providers process data in the United States and other countries. By using The Gameplan from outside the United States, you understand your information will be processed there.
12. Security
We encrypt data in transit, restrict database access so each user can reach only their own and their family's data, and keep secret keys on our servers rather than in the App. No system is perfectly secure, so we can't guarantee absolute security. If we learn of a breach that affects your information, we'll notify you as the law requires.
13. The website
If you join our waitlist on gameplanai.app, we collect your email address, how you found us (such as the referring site and campaign tags) and a one-way hashed version of your IP address to prevent spam. Cloudflare Turnstile checks that form submissions come from people, not bots. Field map pages use Google Maps. People who sign in to suggest edits to field maps have those edits stored with their account. The Site doesn't use advertising or tracking cookies; Cloudflare and Google may set technical cookies needed to provide their services.
14. Changes and contact
If we make material changes to this policy, we'll update the effective date and tell you in the App or by email before the changes take effect.
